Event Planning - Marketing (Part VI)

Mass Mailing

Mass mailing

While sending the invitations may technically be considered mass mailing, their quality sets them apart and places them in a different category. For true mass mail, the most effective approach is to use colorful, generally glossy, oversized postcards (around 5 1/2 x 8 1/2 inches). Any reputable print shop will offer the services of a graphic designer to help you create high-quality mail; typically, design services are included in the printing cost or are relatively inexpensive. Alternatively, you can opt to hire a professional graphic designer, which can be a great choice if it fits within your budget.

Some things to keep in mind:

  • Use as much color as you can.

  • Use pictures if you can.

  • Keep the text concise; include only essential information to attract and guide people to their destination promptly.

  • When sending direct mail, it's important to think about three different groups of recipients: those who quickly glance at the envelope, those who open it and skim the main points, and those who read the entire content meticulously.

Advertising

Advertising

In order to think about advertising, you should have a significant marketing budget, starting from at least $2000 to $5000, depending on the media market you are targeting.

  • Begin with radio advertising, as it offers an affordable method for delivering a consistent message. Ensure that you air a minimum of 3-5 spots daily, especially during peak drive times (approximately from 7:00 a.m. to 6:00 p.m.).

  • If you believe you have maximized radio advertising, consider transitioning to television, including both cable and broadcast options.

  • If you believe you have sufficient radio and television coverage, consider placing some newspaper advertisements. Ensure that the ads are at least one-eighth of a page in size and are published at least three times prior to your event.

Finding Ways to Interest Potential Guests

When planning an event, it is crucial to carefully consider what will attract your target audience and make them choose to participate in your event over other options. Although it may seem like a simple question, many event organizers fail to thoroughly contemplate it. How do you plan to captivate your target audience and ensure their attendance?
